Cancellation Policy

This Cancellation Policy outlines the terms and conditions governing the cancellation of services provided by Xeotec E-Services (P) Limited. We understand that circumstances may change, and clients may need to cancel or reschedule their IT services. This policy is designed to provide clarity and fairness to both our clients and the Company.

Note: This Cancellation policy is a legally binding document between you and Xeotec E-Services (P) limited . Our Cancellation policy may change at any time without prior notification. To make sure that you are aware of any changes, kindly review the policy periodically.

Cancellation Window
Clients are allowed to cancel or reschedule services provided by the Company within a specified cancellation window. The cancellation window is defined as 48 hours prior to the scheduled service start time. Any cancellation requests made outside of this window may be subject to penalties as outlined in this policy.

Cancellation PROCESS
Clients are required to follow the cancellation process outlined below:

Notify the Company of the cancellation or rescheduling request as soon as possible via email or phone.
Provide relevant details, including the service name, date, and reason for cancellation.
Await confirmation from the Company acknowledging the cancellation or rescheduling request.
Cancellation Fees
Cancellation fees may apply based on the timing of the cancellation and the nature of the services booked. The following cancellation fee structure will be applied:

Cancellations made within the cancellation window: No cancellation fees will be charged.
Cancellations made outside the cancellation window: A cancellation fee equal to 30% of the total service cost will be charged.

No-Show: If the client does not show up for a scheduled service without prior notice, the client may be charged the full service cost.
Refunds
Refunds for cancellations will be processed as follows:

If the client has already paid for the service and cancels within the cancellation window, a full refund will be issued.
If the client has already paid for the service and cancels outside the cancellation window, the cancellation fee will be deducted from the total amount, and the remaining balance will be refunded.
In cases where no payment has been made upfront, the client may be billed for the cancellation fee as per the policy.

Rescheduling
Clients are encouraged to reschedule services instead of canceling whenever possible. The Company will make every effort to accommodate rescheduling requests based on availability.

Force Majeure
In the event that the cancellation is due to circumstances beyond the control of the client or the Company, such as natural disasters, acts of terrorism, or other force majeure events, the cancellation fee may be waived at the Company's discretion.

Amendments to the Policy
The Company reserves the right to amend this Cancellation Policy at any time without prior notice. Clients are encouraged to review this policy periodically to stay informed about any updates.
